5. Why we use your information and our lawful bases
Responding to enquiries
We use your information to understand and respond to your enquiry, arrange a discovery call and discuss a possible photography experience.
Our lawful basis is taking steps at your request before entering into a contract. We may also rely on our legitimate interest in communicating with people who contact the business.
Providing a photography experience
We use your information to arrange and deliver the photography experience, communicate with you, prepare photographs, hold the design consultation, create artwork and manage delivery.
Our lawful basis is the performance of our contract with you.
Business administration and legal records
We use information to manage invoices, payments, accounting, insurance, complaints, legal claims and business records.
Our lawful bases are legal obligation and our legitimate interests in operating and protecting the business.
Website operation and security
We use limited technical information to maintain the website, prevent misuse, diagnose problems and protect the website and business systems.
Our lawful basis is our legitimate interest in operating a safe and reliable website.
Website analytics
Where you have consented, we use Google Analytics to understand how visitors find and use the website and to improve its performance.
Our lawful basis is consent. You may withdraw that consent through the website’s cookie controls.
Marketing
We will send promotional emails or text messages only where you have provided the required consent or where another lawful exception clearly applies.
You may unsubscribe at any time.
Publication of photographs
Creating and delivering your photographs forms part of the photography contract.
Using identifiable photographs publicly, including on the website, social media, advertising, exhibitions or printed marketing, will be based on the permission agreed with you. Refusing public use will not prevent Paws Celebre from providing the photography service you booked.
6. Sensitive personal information
The website enquiry form is not intended for detailed medical or health information.
Please do not include detailed diagnoses, medical records or other highly sensitive information in the form.
If you later choose to share limited information about illness, disability, accessibility, bereavement or personal circumstances so that the experience can be adapted appropriately, we will use only what is reasonably necessary.
Where this amounts to special-category information and needs to be recorded, we will seek your explicit consent or identify another valid legal condition before processing it.
7. Who we may share information with
We may share information only where reasonably necessary with:
• HighLevel, which provides website forms, customer relationship management and communication tools;
• Google Analytics, where analytics consent has been given;
• website, domain, email and technology providers;
• payment providers;
• professional photographic laboratories and artwork suppliers;
• couriers and delivery companies;
• accountants, insurers and professional advisers;
• contractors assisting with an agreed photography service;
• law-enforcement bodies, regulators or courts where required by law.
Artwork suppliers may receive the image files needed to create your order. Delivery providers may receive your name, address and contact details.
Service providers are expected to process personal information only for the services they provide and to protect it appropriately.
We do not disclose your information to unrelated third parties for their own marketing purposes.
8. International transfers
Some technology providers may process or store information outside the United Kingdom.
Where personal information is transferred internationally, we will take reasonable steps to ensure an appropriate legal safeguard applies. This may include a UK adequacy regulation, an approved international data-transfer agreement or other safeguards permitted by UK data-protection law.
9. How long we keep information
We keep personal information only for as long as it is reasonably needed for the purposes described in this notice.
Our normal retention periods are:
Unbooked enquiries
Normally up to 12 months after the last meaningful contact, unless there is a reason to retain the correspondence for longer.
Client, contract, payment and accounting records
Normally up to six years after the end of the client relationship or transaction, where required for tax, accounting, insurance or legal purposes.
Photographic working files
Original and working photographic files are normally retained for up to 12 months after final delivery and may then be permanently deleted, unless a different period is agreed in writing.
Final artwork and order records
Order records may be retained with the client and accounting records. The continued availability of image files is not guaranteed after the stated archive period.
Publicly used photographs
Photographs used with permission may remain in use until that permission is withdrawn or the material is no longer required.
Withdrawal does not affect use that was lawful before withdrawal. It may not always be possible to recover printed materials already distributed.
Marketing information
Marketing contact details are retained until you unsubscribe or consent is withdrawn. We may retain limited information on a suppression list so that your preference not to receive marketing is respected.
Analytics information
Google Analytics event-level information is retained for up to 14 months.
Information may be retained for longer where required by law, a complaint, an insurance matter or a legal claim.
10. Cookies and website analytics
The website may use:
• essential technologies needed for website security and operation;
• preference technologies that remember choices;
• analytics technologies that help us understand website use.
Non-essential analytics technologies will be used only after you have made a choice through the cookie controls.
Google Analytics may collect technical information such as page visits, device information, approximate location and website interactions.
You can reject non-essential technologies or change your choices through the website’s cookie controls.
11. Marketing communications
Submitting an enquiry does not automatically subscribe you to promotional marketing.
Where we invite you to receive marketing, the choice will be separate and optional.
Every electronic marketing message will provide a way to unsubscribe. You may also ask us to stop by contacting [email protected].
Service communications concerning an enquiry, appointment, booking, artwork order or delivery are not promotional marketing and may still be sent where necessary.
12. Your data-protection rights
Depending on the circumstances and lawful basis, you may have the right to:
• request access to your personal information;
• ask for inaccurate information to be corrected;
• ask for information to be deleted;
• ask us to restrict how information is used;
• object to certain processing;
• receive certain information in a portable format;
• withdraw consent at any time where processing is based on consent; and
• complain to the Information Commissioner’s Office.
You will not normally be charged for exercising these rights.
We may need to confirm your identity before responding. Some rights are subject to legal limitations and may not apply in every situation.
YOUR RIGHT TO OBJECT
You have the right to object to the use of your personal information for direct marketing at any time.
You may also object to processing based on legitimate interests. We will stop that processing unless there are compelling legitimate grounds to continue or the information is needed for legal claims.
13. Security
We take reasonable technical and organisational measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.
Access is limited to people and service providers who reasonably need the information for the purposes described in this notice.
No online service can guarantee absolute security. Please contact us promptly if you believe information has been lost, misused or accessed without permission.
14. Children
Children may appear in family photographs where a parent or person with parental responsibility has agreed to their participation.
We do not knowingly invite children to submit website enquiries or provide their information directly without appropriate adult involvement.

This website may link to websites or services operated by other organisations.
Their privacy practices are outside our control. You should review their privacy information before providing personal information to them.
